Job Description


This position will be responsible for performing standard, advanced, and confidential services for the CEO, CFO, and the Senior Leadership Team. The Executive Administrative Assistant will enhance executive management effectiveness by performing various administrative functions consistent with requirements normally performed by Senior Management and will assist the Human Resources department with various administrative duties as needed.


  • Compose and distribute all correspondence, memos, reports, proposals, minutes, and notices
  • Schedule, coordinate, and maintain the Senior Leadership Team calendar appointments, meetings, and travel itineraries
  • Prepare and process reports and financial data that include high level contacts of a complex and confidential nature both inside and outside of the company
  • Organize and maintain confidential files and records
  • Exercise independent judgment in actions regarding company matters
  • Prepare and collect information for use in discussions, meetings, and presentations with executive staff members and other internal and external to the company
  • Assist the CEO and CFO in all aspects of Board of Directors and Committee meetings
  • Screen phone calls and visitors; answer and direct inquiries
  • Welcome guests/candidates and coordinate guest/candidate travel arrangements
  • Maintain confidentiality 
  • Assist the Human Resources department with various administrative duties, as needed
  • Perform other duties or functions as required to support activities and responsibilities of the Senior Leadership Team


  • High School Diploma or equivalent required
  • Some post-High School education desired


  • Two to five years of related experience preferred
  • Experience in project coordination desired


  • Advanced proficiency in all Microsoft Office programs
  • Extensive computer/software skills      
  • Strong organizational, time management, and interpersonal skills
  • Good oral and written communication skills and listening abilities to ensure information is relayed correctly
  • Ability to work will with all levels of internal management and staff, as well as outside clients and vendors
